2. Information we collect
We collect personal information in two main ways.
When you contact us
Through our website contact form or by email, we may collect:
- Your name and professional email address
- Your organisation and professional role, where provided
- The topics or areas of interest you select
- Any information you choose to include in your message
- Information contained in subsequent correspondence
Contact form submissions are delivered by email and are not stored in the website’s database. Correspondence may be retained in our email accounts and associated backups.
When you visit our website
Our hosting provider automatically processes technical information necessary to operate and secure the website. This may include IP addresses, requested pages, access dates and times, browser information, operating system information and server responses.
3. How we use your information
We use personal information to:
- Respond to enquiries and communicate with you
- Understand your professional needs and, where appropriate, prepare proposals
- Maintain the operation, security and reliability of the website
- Fulfil applicable legal obligations
Where the GDPR applies, processing may rely on our legitimate interests in managing professional enquiries and operating a secure website, steps taken at your request before entering into a contract, or compliance with legal obligations, as appropriate.
We do not use contact form submissions to subscribe you automatically to newsletters or promotional mailing lists.
We do not carry out automated individual decision-making or profiling of website visitors.
4. Service providers and data sharing
Our website and email services are currently hosted by green.ch AG, a Swiss hosting provider.
Green processes technical information and provides hosting, email, security and backup services in connection with the operation of our website.
Access to personal information is limited to authorised persons and service providers who need it for the purposes described in this policy.
We do not sell personal information or share initial website enquiries with our ecosystem partners for their own marketing or commercial purposes.
If a potential engagement requires the involvement of another organisation or ecosystem member, relevant data-sharing arrangements will be explained before personal information is disclosed.
Personal information may also be disclosed where required by applicable law or a lawful request from a competent authority.
5. Data storage and international transfers
Our website and current email services are hosted on infrastructure located in Switzerland. Green also provides backup and disaster recovery services within its hosting infrastructure.
If additional service providers located outside Switzerland are introduced, or personal data is otherwise disclosed abroad, we will assess the applicable data protection requirements and provide information about the destination countries and relevant safeguards.
Links to external websites are provided for convenience. Those websites may process personal information under their own privacy policies when you visit them.
6. Data retention
We retain personal information only for as long as necessary for the purposes for which it was collected, subject to applicable legal obligations.
Business enquiries
Personal information received through the contact form or by email is retained for up to 24 months after the last relevant interaction, unless an ongoing business relationship, contractual requirement or legal obligation justifies a longer period.
Website access logs
Web server access logs are retained for up to 60 days for technical operation, security monitoring and troubleshooting.
Our hosting provider anonymises IP addresses in web server logs from the second day onwards.
Backups
Standard hosting backups are retained for 14 days. Encrypted disaster recovery backups may be retained for up to three months and are accessible only in exceptional recovery situations.
Contractual and accounting records
Where information becomes part of contractual, accounting or other legally relevant records, it may be retained for longer periods as required by applicable law.
7. Cookies and tracking
The InnerGrid website does not currently use analytics or advertising cookies.
We do not use cookies to profile visitors or track their activity across other websites.
Technical information necessary for the operation, security and maintenance of the website may still be processed through server logs, as described above.
8. Your rights
Under applicable data protection legislation, you may have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of personal information, subject to applicable legal requirements and exceptions
- Object to certain processing activities
- Withdraw consent where processing is based on consent
- Request restriction of processing or data portability where the GDPR applies and the relevant legal conditions are met
To exercise your rights or ask questions about how your information is handled, contact us at info@innergrid.ch.
We will respond within the time limits established by applicable law.
You may also contact the Swiss Federal Data Protection and Information Commissioner (FDPIC) at www.edoeb.admin.ch or, where the GDPR applies, the competent European data protection supervisory authority.
9. Data security
We implement appropriate technical and organisational measures to protect personal information against unauthorised access, alteration, loss and misuse.
The website uses HTTPS encryption, and our hosting provider applies infrastructure security measures, including access controls, firewalls and backup systems.
While reasonable precautions are taken, no internet transmission or storage system can be guaranteed to be completely secure.
10. Client engagements and assessments
This Privacy Policy primarily covers visits to our website and initial professional enquiries.
Personal data processed as part of client engagements, including coaching, assessments, leadership development and capability management activities, may be subject to additional privacy information and contractual arrangements.
These arrangements will reflect the nature of each engagement, the organisations involved and the responsibilities of the relevant parties.
11. Changes to this policy
We may update this Privacy Policy to reflect changes in our activities, service providers or applicable legal requirements.
The latest version will be published on this website with its date of revision.
